Specific for our corporate website
Any information entered on our websites may be registered in our CRM system for later use by our employees for personal contact and client relationship management. The information in our CRM system is stored on ProData Consult's own servers and are kept confidential. The communication between our different offices and sales representatives is encrypted.
Sales representatives may contact you personally, either by telephone or by email, to answer your questions and in other ways be of service for your company.
Company names and addresses entered on our websites may be used to send out general direct mail advertising/brochures, which generally occurs 2 to 6 times a year. You may opt out of these by calling, emailing or writing to our office (see contact information on contact page) where you specify the exact name and address, which is on the envelope, you have received from us, and request not to get any more advertising. We will save the given name and address, which does not want to receive advertising, in order to prevent that it will be added again in the future.
Your information will never be disclosed to others without your consent.
Specific for our consultant websites
The information you enter on this site and provide to ProData Consult in any other ways such as mail, phone and/or interviews, may be stored in the ProData Consult database until you ask us to delete your data. The database is physically located at the ProData Consult headquarters in Denmark, and follows The General Data Protection Regulation (GDPR) regarding the registration of information.
Sales representatives and our Sourcing employees may contact you personally, either by telephone or by email, to answer your questions and in other ways be of service for your company.
If you respond to a job but have not joined our CV site, then your CV and information will only be available for employees looking at that specific job - you will not be otherwise searchable. If we decided to forward your CV to the client, then the client will also have access to it when looking at that specific job request. To withdraw your CV from us and/or the client, contact the responsible sourcing employee by responding to the email confirmation you received when you applied for the job.

We can use external data processors to purposes like:
- Virus and spam scanning of internet traffic and email traffic
- Online email
- Sending of newsletters (if subscribed)
- Analysis of visitors and targeted commercials (if cookie popup accepted)
- Hosting of servers with data (databases and webservers)
- Sending push messages to apps (for those using our app, all notifications will go through Google Firebase, plus for iOS devices they will also go through Apple)

As data responsible we will ensure that any data processors protect your information as well as ourselves, and that they are bound by the same limitations as we are regarding the use of your data.

The website requires the use of some Necessary cookies. Our Necessary cookies will never be used to link your data to any other services or tracking across the internet. Our necessary cookies are only used for the purpose of deliver a proper functioning website and webservice. Our necessary cookies include:
Anonymous identity cookies: Used for technical reasons to keep track of your current action, such as completing a form or request for information. Their duration can vary from one visit to six (6) months, with the duration extended after each new visit.
Identity cookies placed at time of login: Used to uniquely identify you as an authenticated user that has right to edit your own data. Their duration varies from one visit to 6 months, with the duration extended on each new visit.
Cookies storing user choices: Such as which language you are using and which kind of cookies you have accepted. Their duration varies from one visit to 24 months, with the duration extended on each new visit.
Our necessary cookies also contain the use of third party services to collect and analyze anonymous information about how our visitors interact with our website. We won't track who you are, your exact location, your IP-address or other personally identifiable details. Our statistical cookies only have the purpose to improve our online services and present the best service to our visitors. The third party services that can place cookies for that purposes include:
Google Analytics: We are using this to learn how people use our public websites, and from which sources we get our website traffic. Analytics cookies are stored for 36 months after your last visit. Data sent to Analytics is not allowed to include data that can identify the person and we are only sending a partial IP address.
2) Marketing cookies
If allowed we will use selected third party services to measure more statistics as well as allow relevant adverts from us to be delivered to you on third party websites. We do this using a variety of digital marketing networks and exchanges, and it can use other advertising technologies like web beacons or pixels (storing data on your device via an image) in addition to cookies.
We will never send your name, contact details or other personally identifying details to such third parties, but they might already know who you are, and if allowed they might use your browsing history according to any privacy policy you have accepted with those third party services and websites.
When we have ads placed on third party websites, we will use anonymous information about the ad you saw and how you engaged with it to measure and improve our advertising campaigns in the future.
ProData Consult uses the following third-party marketing services on our websites:
Google Tag Manager: We are using this to record additional statistics about user interaction with our websites. Data processed via Google Tag Manager is not allowed to include data that can identify a person.
Facebook: We use the Facebook pixel. This will in some cases place a cookie which allows us to place targeted ads to our website visitors on Facebook. The Facebook pixel is stored for 360 days, with duration extended each time you visit our website.
LinkedIn: We use the LinkedIn Insight Tag. This will in some cases place a cookie which allows us to place targeted ads to our website visitors on LinkedIn. The LinkedIn Insight Tag is stores for 6 months, with duration extended each time you visit our website.
Google ads: We use Google Ads. This will in some cases place a cookie which allows us to place targeted ads to our website visitors on other websites that display ads.
Active Campaign: We use a newsletter service (Active Campaign), which can place a cookie, when you sign up to our newsletter from our website, or if you access our website from one of our newsletters. The purpose is to improve and adapt our newsletter to you, track which content you prefer as well as measure the efficiency of our newsletters.
Hotjar: We use Hotjar in order to better understand our users' needs and to optimize the experience on our services. Hotjar is a technology service that helps us better understand our users experience (e.g. how much time they spend on which pages, which links they choose to click, what users do and don't like, etc.) and this enables us to build and maintain our service with user feedback. Hotjar uses cookies and other technologiesto collect data on our users' behaviour and their devices (in particular anonymized IP address, device screen size, device type (unique device identifiers), browser information, geographic location (country only), preferred language used to display our website). Hotjar stores this information in a pseudonymized user profile. Neither Hotjar nor ProData Consult will ever use this information to identify individual users or to match it with further data on an individual user.
3) Other services
Our websites can request content such as fonts and videos from other websites/domains that are outside our ability to control cookie usage. Those include:
Youtube: We serve video content from www.youtube-nocookie.com to avoid cookies and protect your privacy, but there can still be necessary cookies for technical reasons, and depending on what terms you might have accepted on Youtube, you might have allowed them to place additional cookies to track your usage.
Social media login: The CV site permits you to log in using a third-party account (LinkedIn, Google+ or Facebook account), and as a result, the authentication of your logon details will be facilitated by that third party, should you use that service. We may also collect information about or from your third-party account that you agree to share with us at the time you give permission for your profile to be linked to that third-party account (currently limited to your name, email and login identification). We do not read data about your friends or post anything on your timeline.

Terms and conditions for use of the ProData Consult CV site

By joining or using the ProData Consult CV site you are agreeing to the terms and conditions below:
The information you enter on this site and may provide to ProData Consult in ways such as mail, phone and/or interviews, may be stored in the ProData Consult Group IT Systems where it will be stored fully compliant with all regulatory requirements until you asks us to delete your data.
You will have full access to control, modify and request your data deleted through the service portal which you will have access to, including the option to temporarily request processing of your data suspended.
Do not enter any sensitive personal information, such as your religion, race, political leaning, union membership, sexual orientation or health information, since this type of information is not relevant for the purpose of the data processing performed by ProData Consult.
Should specific customer requirements call for information of a sensitive nature, such material may be uploaded separately in a secure channel at the time of contract signing.
Your data will be stored and processed in Europe by the ProData Consult Group employees in respect of our GDPR compliance framework.
ProData Consult can at any time and without explanation choose to stop the cooperation either by deleting your data or blocking your CV from searches.
When clients contact ProData Consult in need of a consultant and your competences are a good match, ProData Consult will contact you to confirm that you are available and interested in that project. You are always free to reject a request at your discretion. Only with your acceptance will your ProData CV be sent to the client for review. Our clients themselves have no access to search our database of consultants.
Once you have accepted a project, other ProData consultants on the same project will be able to see your name, position and picture on our Consultant CV site and in our Consultant App for IOS and Android
Clients to whom your CV has been offered, or with whom you were once placed on a ProData Consult contract may also have online access to your name, position, picture and your updated ProData Consult CV for up to 5 years.
It is optional to upload a picture, so if you do not want it shown on the CV or to colleagues then you should not upload one.
We keep your information until you request us to delete it (or until 12 years of inactivity). Setting your ‘available from’ data correctly or changing data processing to ‘Passive’ will reduce personal contact from us regarding jobs until you are available again.
You can ask to get your basic data and own uploaded CV exported, whereas your ProData Consult CV will be edited and optimized in cooperation with our employees for specific projects, and therefore is considered the property of ProData Consult.

Newsletters and other communications:
ProData Consult use your email address to send reminders (such as overdue hour reporting on your current contract or if your CV needs to be updated), queries regarding your availability or interest in a project, and direct personal contact (such as arrangement of interviews in preparation for possible sales). The level of automatic emails is less than 4 per month for most consultants (can be more for those on an active ProData contract), and the purpose is solely to ensure a close collaboration and to increase your chances of being sold.
We use third party system, Active Campaign, to send those nudge/service mails. You can always unsubscribe those messages. Messages sent related to specific assignments , you can avoid by changing you status on our consultant portal to passive.
(If you no longer wish to receive these service mailings and are not seeking freelance assignments, you can change your profile to passive on the CV site.)
In addition you can optionally subscribe to our newsletters with invitations to events held by ProData Consult (such as Christmas party and seminars), special activities (such as satisfaction surveys or games for consultants with active contracts) and general consultant news. You can subscribe to these on the website and unsubscribe via links in the emails sent under this category.
It is also possible to optionally subscribe to our job agent on the job site, which can be unsubscribed via the link in the sent email.
Note: We sometimes send our newsletters to a subset of our consultants, so being subscribed is no guarantee that you receive all mailings.
Privacy Policy
Your information is stored on ProData Consult's servers and is held confidential. Communication on the CV site and between offices is encrypted. All you need to do to ensure that your information doesn’t fall into the wrong hands is to change your password on the CV site to a strong password which you alone know, consider activating Multifunction Authentication, and if using a public computer make sure you log off properly before leaving the computer.
Use of the website, emails and error messages may be registered by the ProData Consult Group IT department to detect abuse and to improve the website. This includes logging your full IP address if it is suspected of being malicious or otherwise causes errors on the website, but this information is only available to the administrators in the IT department.
Your information will not be processed for any other purpose than securing you a consultant contract with a ProData Consult Group client.

Newsletters
Newsletters for clients
The newsletters we send contains information and news about our industry, insights and inspiration, events and offers from ProData Consult. It can be things such as a new edition of Best Practice, relevant articles, invitations for events, surveys, competitions or similar things, we consider to be relevant for the client and/or industry.
Newsletters by emails is only sent to those, who has given us consent. You can at any time unsubscribe by following the link in the bottom of each mail.
We use third party system, Active Campaign, to send newsletters. You can at any time unsubscribe from our newsletters, and we will stop sending newsletters to your email.
Newsletters for consultants
You can subscribe to our consultant newsletters without joining the CV site, but for the full description refer to the terms and conditions on the join page.

Job agent
By subscribing to our job agent, you will get relevant jobs straight in your inbox that related to your job agent setting.
The job agent works independently from the CV site. It can only be started by you by subscribing to it and it can only be stopped by you using the unsubscribe link in the emails - our employees cannot turn it on or off for you.
Specific for the Client Module
The client module is a free service. To get access and give access to employees, clients need to talk with their Account Manager who is the only one that can grant them access.
The policies for corporate websites (above) and in general still applies, but with additions in the frame agreement between our companies. Among other things, you must promise to keep data confidential and not store CVs of our consultants for longer than necessary for filling a job (The client module gives you access to it for as long as the consultant still allows it).
Notifications
In the Client Module you can activate notifications to your email address when certain things happen, such as new candidates found for a request. These notifications are something only you control when you log in - our employees cannot turn them on or off for you - and the notifications can be disabled the same place as they were turned on.
